Position Summary:
Reporting to the Manager, Financial Systems, the Associate, Financial Systems is a member of Audubon’s Finance Department. Under the direction of the Manager, Financial Systems, the Associate will play a pivotal role in assisting in the implementation and in maintaining various financial solutions. These solutions include but are not limited to financial reporting, expense reimbursements, payments, budgets, forecasts, and time tracking.
This is a hybrid role based out of our New York, NY office.
Compensation:
$28.00 - $32.00 / hour
Maintain all aspects of the following systems: Time Allocation Module (TAM), Expense Reporting (Concur), Contract Online Library Management Tool (Auklet), Purchasing Card Reconciliation (PCR), Online Invoice System (OIS), and Grant Tracking Portal (GTP).
Assist in managing Prophix Budget Module.
Assist Manager, Financial Systems, in maintaining other systems as needed.
Update data within systems, such as users, coding, descriptions.
Provide excellent customer service to a variety of stakeholders, including Finance staff, the field, and staff from various departments.
Collaborate with various Finance teams on resolving issues, including Accounting, Financial Operations, Contracts and Financial Planning and Analysis teams.
Collaborate with Technology teams to ensure system issues are addressed in a timely manner.
Assist in the implementation and testing of new or upgraded systems.
Provide accounting support and reporting guidance for all assigned programs. Review general ledger reports for accuracy.
Provide technical assistance in preparation of annual and long-term operating budgets. Assist with data entry reflows for all assigned programs. Generate and distribute financial reports for budget meetings.
Responsible for sending auto report packages to key program staff at each monthly close.
Assist in maintaining up to date reports in the budget module ensuring the right reporting is available at various stages of the budget cycle.
Ensure each specified program has provided all proper documentation for the close of the fiscal year end, and then follow through to ensure that year end closing entries have all been recorded and the obligation of each program restriction are upheld in accordance with policies and guidelines.
Assist in providing training and support to system users. Help create training materials for financial systems.
Maintain and update Audubon’s Finance intranet pages, the Perch. Assist in implementation of new intranet pages for Finance, as needed.
Maintains and fosters culture of safety.
Other job-related duties as assigned by the supervisor.
2 years progressive financial/accounting experience in a nonprofit organization, to include working with financial systems required.
Bachelor’s degree required, and some college-level course work completed in business or accounting a strong plus. An equivalent combination of education and experience will also be considered.
Must have an excellent grasp of financial and accounting concepts and be able to communicate complex financial information clearly and concisely.
Strong written, oral, presentation and interpersonal communication skills, as well as experience providing customer service to a wide range of constituents, a must.
A self-starter who possesses excellent organizational and analytical skills and has a keen attention to detail.
Proficient in MS Office, including advanced skills with Excel.
Must have a strong background in financial systems, including both general ledger, reporting and budgeting components. Experience using and reporting from Financial Edge NXT and/or Prophix or similar systems desired.
