THE POSITION

The Summer Camp Coordinator is responsible for assisting with day-to-day logistics of summer camp programming at the Guthrie Theater, and to provide administrative support to help bolster the productivity, efficiency and overall effectiveness of the Guthrie Education and Professional Training department. Responsible for several key operations and activities, the Summer Camp Coordinator leads the check-in and check-out process at the beginning and end of each day, communicating directly with care givers, students and staff to ensure camper safety. The Summer Camp Coordinator supports teaching artists and counselors with programming, space and resource needs and offers support for students throughout their summer camp experience. The position is full-time, hourly and non-exempt and will work from May 5, 2025, through August 22, 2025. The typical schedule will be Monday-Friday, 8:30am-4:30pm. This role is required to work flexible hours/days, including evenings and weekends, reflective of the dynamic schedule of the theater.

PRIMARY DUTIES AND RESPONSIBILITIES

• Assists Education Program Manager in planning and executing day-to-day operations of all summer camps.
• Manages registration details including summer camp packages, discounts, refunds, and scholarship applications.
• Assists in building and maintaining camps in Tessitura and communicating with stakeholders.
• Serves as a point of contact between Guthrie Education staff and camper caregivers.
• Leads check-in and checkout each day of camp.
• Supports teaching artists and counselors with in-class requests/needs such as printing, accessing materials, in-class support, and lunch supervision.
• Ensures classrooms & rehearsal rooms are clean, safe and prepared for students/teaching artists.
• Maintains knowledge of security policies, emergency procedures, and child medical forms.
• Provides support and assistance to teaching artists, counselors and campers with accessibility needs and steps in to cover counselors as needed.
• Builds surveys and collects both qualitative and quantitative data for program evaluation.

• Prior administrative support experience in theater and/or an arts education setting required. Formal, informal and cross-disciplinary experiences will be considered. A background in Stage Management or Production Management is a plus, as is experience working as a Teaching Artist and/or experience in K-12 education.
• Proficient in Microsoft Office Suite (Excel, Word). Has extensive knowledge of and can use technology and other technical resources.
• Experience with a ticketing database (Tessitura, Spektrix, Resova, etc.)
• Experience working with and entering data in a CRM or database.
• Experience managing and coordinating multiple organizational priorities.
• Demonstrated skills in managing multiple priorities and maintaining composure/diplomacy during stressful situations.
• Commitment to fostering and maintaining positive relationships with colleagues, teaching artists, community partners, volunteers and the general public.
• Experience with making independent decisions, exercising appropriate judgment and maintaining confidentiality as needed.
• Can communicate effectively and persuasively in orally and in writing on both an interpersonal and group level.
• Can perform light physical labor such as moving chairs & tables and setting up AV carts and other support resources for summer camps and sharings.
• Can work flexible hours/days reflective of the dynamic schedule of a theater.
