Transform the Innovation Center into an inspiring customer engagement platform built upon a portfolio of customer engagement offerings and a smooth event/briefing booking and management process.                                                                                                                                                                                                                              

Drive the day-to-day events of the Innovation Center through structured event/briefing management and execution of events and conferences.

Principal Accountabilities:

 

Day-to-Day Event request & handling

  • Handling incoming and book-in customer engagements in the centralized event/booking tool Skedulo
  • Timely and efficiently respond to event requests from internal DPDHL teams and visiting delegations
  • If event request is accepted, formally book-in event request in the centralized event management tool Skedulo, follow-up with event requestor and align/support
  • Work closely with the event requestor collecting insights on objectives of visitors such as agenda, topics of interests
  • Coordinate the practical event organization: badging, meeting room set-up, catering orders, special services, focusing on high-quality service delivery to internal and external audiences
  • Prepare and manage weekly event meeting by collecting all event information from central booking tool, validate open questions with team
  • Hand over all event details at least 1 week prior to the event as part of the weekly meeting and always keep weekly overview for operations team up to date
 

Events & Engagements (Virtual or In-Person)

  • Systematic and target-oriented planning of smaller events and conferences at the innovation center.
  • Work closely with the event/briefing requestor collecting insights in agenda, topics of interests, and event formats
  • Coordinate the practical event organization (catering, name badges, set-up, decoration, technical requirements etc.)
  • Align/brief the Innovation Center team on the practical event preparation
  • Book, align and brief supplier (technical company, caterer etc.)
  • Create workflow, directory plan to ensure a smooth event running
  • Budget management, create budget chart and ensure cost control
  • Close cooperation with Marketing for branding and printing materials
 

Strive for event optimization

  • Develop/creating new event & briefing formats
  • Regular update catering catalog & event brochure
  • Proactively use customer feedback to drive optimization
  • Regular screening the market on latest event trends
  • Getting knowledge and being an expert on tools for virtual formats
  • Creating & regular updating SOPs
 

Event Pipeline

  • Managing & delivery monthly event pipeline
  • Responsibility for booking process and compliance and communication, ensuring a high data quality (customer name, event date etc.)
 

Special Tasks

  • Participation in global projects
  • Creating & drafting reports
             

Knowledge, Skills and Experience:

 
  • Ideally 3 years of professional experience in Event Management
  • Fluency in business-level English; German is a plus
  • A fast learner – someone who can dive into topics, learn them quickly, and present on them to others
  • Proactive – someone who will take initiative when they see something needs improvement and comes to the table with ideas
  • Someone who has a blend of creative and analytical skills
  • A team player who works well with various stakeholders in a fast-paced, global environment
  • Strong organizational skills and meticulous
  • Strong communicator and relationship builder
  • Strong Microsoft office skills
  • Advanced project management skills
