POSITION DETAILS
Full-time with benefits; 80 hours in the two week pay period, Monday through Friday from 8am to 4:30pm; holiday rotation working a short day.
JOB SUMMARY
The Health Information Services (HIS) Associate’s primary responsibility is to scan medical records into the electronic health record, answer phone calls, edit medical reports, requisition of department supplies, submit birth certificates to the state of Wisconsin, release patient information as well as other clerical duties as assigned.
MAJOR JOB FUNCTION
Responsible for promptly scanning and quality checking all pertinent medical information into the electronic health record.
Purges scanned medical records for destruction at the appropriate timeframes.
Edits medical reports into the electronic health record and remains current with medical and English terminology, ensuring proper word usage and sentence structure. Uses available references and asks questions to facilitate the accuracy, clarity and completeness of reports.
Releases health care information in accordance with established policies and procedures. Applies knowledge of current legislation affecting confidentiality and release of information.
Completes birth certificates in a timely, accurate fashion, including, if necessary, contacting mother. Responsible for timely submission in accordance with State regulations.
Aids Tomah Health staff and patients in retrieving information.
Promptly answers the telephone and responds appropriately to requests as needed.
Orients new staff to the department as assigned.
Participates in staff meetings, appropriate in-services and competency training and testing.
Completes reports as required by the Health Information Services Department.
Operates and performs necessary maintenance on equipment. Reports any problems or malfunctions to the Help Desk and supervisor promptly.
Responsible to complete essential daily tasks of co-workers in their absence.
Assists department in quality assurance activities.
Requisitions necessary equipment, materials, office supplies and forms to keep department in smooth and safe operating order.
Orients new providers to HIPAA (Health Insurance Portability and Accountability Act)
Performs all other duties as assigned.

EDUCATIONAL REQUIREMENTS
High school diploma or equivalent.
Extensive background in medical terminology, basic anatomy and physiology, surgical terminology and pharmacology preferred.
Good working knowledge of English usage, grammar and punctuation required.
Good business skills with typing of 65 wpm minimum preferred.
Associates Degree in Health Information Technology, completion of formal courses in the medical field or equivalent preferred.
QUALIFICATIONS/SKILLS
Excellent verbal and written communication skills.
Excellent human relation skills as demonstrated by the ability to interface positively with all employees.
Must have the ability to work with frequent interruptions, under stress and deadlines, with minimal supervision, and to exercise initiative and judgment in analyzing, organizing, planning, prioritizing, scheduling and coordinating work with others.
Personal computer and word processing experience required.
Manual dexterity required for computer use. Also needs the ability to stay at one workstation for long periods of time.
Must be a proficient typist and have excellent computer skills as related to operating within a Windows environment and be familiar and competent with Word and Excel.
JOB REQUIREMENTS
The HIS Associate is frequently required to stand, walk and reach with hands and arms and is also required to sit, climb or balance, stoop, kneel and crouch.
The HIS Associate must occasionally lift and/or move up to 25 pounds.
Position involves frequent prolonged typing while sitting in one position for prolonged periods.
Position requires excellent auditory skills for dictation purposes.
