The Role: Customer Service Specialist

The Customer Service Specialist, who reports to the Manager of Customer Relations and Credit Collections, supports all areas of Customer Service activities with other account managers to maximize EXSIF’s ability to fulfil customer requirements, expand our marketplace, outperform our competition, increase asset utilization, and promote overall positive external and internal customer relationships.

Summary

  • Handle all incoming inquiries, from both external and internal customers, and follow up as required.
  • Assist with drafting customer contracts and co-ordinate with reporting manager and HQ contracts desk for final drafts and send contracts for signature to customer.
  • Update regional contracts log and follow up to ensure all customer contracts are fully executed with 48 hours
  • Liaise with internal technical and operational teams and external trading partners to supply equipment to customers under time constraints.
  • Liaise with internal technical and operational teams to receive equipment back into EXSIF inventory.
  • Perform necessary administration tasks to fulfil incoming bookings.
  • Generate/Producing excel/fleet reports for customers, sales and management team
  • Update and maintain in-house operating/computer system.
  • Assist in resolution of customer billing discrepancies.
  • Heavy Customer interface
  • Accompany Sales calls, meetings, workshops, trade shows.
  • Assist in researching potential market opportunities, new applications, and development / conversion areas as and when required.
  • Maintain and update area customer database.
  • Maintain and track expired customer insurance on a monthly basis and follow up with customers to provide updated insurance.
  • Issuance of equipment release authorizations to customers, operations/depots, surveyors.
  • Issuance of equipment redelivery authorization in accordance with contract to customers, operations/depots.
  • Become fully involved/take ownership in projects/process improvements as directed by reporting manager
  • Fulfil all customer requirements while developing and maintaining customer relationships through regular touch base with customer through meetings (virtual / onsite).
  • Conduct customer onboarding sessions for all new customers / new contact points in existing customers and promote EXSIF’s self-service portal.
  • Providing administrational support for cross-regional accounts when needed.
  • Adherence to new processes/systems as directed by reporting manager.

Requirements

  • Bachelor's degree in Logistics, Supply Chain, Business or related preferred.
  • Able to prioritize and manage workload, exercise good judgment in accordance with EXSIF Worldwide policies and procedures
  • Ability to attend TEAMS & Zoom meetings, discussions, calls and other related communications on video whether in the office or working from home.
  • Extremely organized with the ability to work under pressure.
  • High level of accuracy and attention to detail.
  • Strong Computer skills necessary, accompanied by outstanding oral and written communication skills.
  • Ability to maintain effective working relationships with EXSIF’s external and internal customers
  • A customer focused service-oriented attitude, along with continuous improvement mindset.
  • Two years of customer service, or administrative, industry experience preferred.
