Ukraine National Identity through Youth (UNITY) is a seven and a half year, USAID-funded program that supports youth leadership towards a values-based Ukrainian identity. UNITY supports youth innovation and entrepreneurship, fosters active participation in decision-making processes and facilitates youth engagement in problem solving at the national and local levels. Through fostering an enabling environment and restoring access to formal and non-formal education, the program empowers young people to realize their dreams, ideas, and visions for Ukraine’s development. UNITY empowers youth to become a driving force for facilitating pluralism and respect for diversity.

The Program Assistant, reporting to the Economic Development Manager, will collaborate closely with the program team to provide comprehensive support in document management, translation, logistics, and other programming processes. The main objective of this role is to assist and ensure the efficient and effective functioning of program operations.

Your Background & Skills

  • Bachelor’s degree in international development, public administration, management, political science, communications and/or another relevant field is preferred.
  • Minimum of 1+ years of relevant experience of work in international development and/or NGO sector in similar areas. 
  • Understanding of the project management cycle. 
  • Practical experience using Microsoft 365. 
  • Interest in working with youth and creating an enabling economic environment and opportunities for youth. 
  • Fluency (written and oral) in Ukrainian and English. 
  • Ability to multi-task and maintain a calm, friendly demeanor under stressful situations. 
  • Strong communication and customer service skills. 
  • A strong work ethic and attention to detail.  
  • A positive and cooperative attitude and willingness to work as a member of a team.Must demonstrate valid proof of unrestricted work authorization in Ukraine
  • You must have unrestricted authorization to work in the United States.
  • Your Daily Tasks
  • Provides programmatic, financial, administrative, and logistical support to ensure the smooth implementation of the UNITY program. 
  • Assists in the planning and organization of program events, both offline and online, such as working group meetings and conferences. 
  • Assists in procuring goods and services, and provides administrative support for payments, contracts, and other related tasks. 
  • Provides written and verbal translation services between English and Ukrainian as needed. 
  • Travels to regions to provide support for program events and activities. 
  • Collaborates closely with the Economic Development Manager on program activities and initiatives. 
  • Prepares presentations, updates, success stories and other deliverables to program activities.
  • Collaborates with team members to gather and draft relevant information for project activities.
  • Facilitates constant communication with participants of economic development projects within UNITY, including high-level communication with implementing partners regarding the of activities introduction. 
  • Communicates with UNITY program representatives to ensure support for program activities, including communication with the Communications Department for information dissemination, and the M&E Department for data collection related to the program, among others.
  • Assists in the program renewal process, which may involve reviewing program documents, preparing reports, and supporting the overall renewal strategy.
  • Gathers market intelligence relevant to the region\s or country, including researching funding opportunities, assessing the competitive landscape, and identifying potential areas for program expansion or adaptation.
  • Performs financial administration tasks under the direction of project leadership. 
  • Collaborates with the Financial and Administrative Team on payments, contracts, vendors, and consultants, ensuring all necessary documents are obtained and/or sent out. 
  • Registers, organizes, tracks, and files program documentation, including applications, reports, and project documents. 
  • Seeks feedback from team members and uses it to make informed decisions. 
  • Takes ownership of decisions and actions. 
  • Promotes effective teamwork within the UNITY, while adhering to policies and established procedures, to facilitate seamless communication and collaboration among different teams involved in the program
  • Other support duties as needed.
