The Subgrants Assistant services will ensure the smooth subgrants implementation under the three projects implemented in Ukraine, by assisting the teams on a range of finance and subgrants related issues.

Your Background & Skills

  • Bachelor’s Degree.
  • Minimum of 1+ year of relevant experience.
  • Understanding of accounting and bookkeeping procedures.
  • Advanced knowledge of MS Office.
  • Familiarity with accounting software such as 1C, QuickBooks, SAP Concur Expense & Invoice is a plus.
  • Excellent quantitative and qualitative analytical skills.
  • Very good attention to detail, reliability, thoroughness, and accuracy with numbers.
  • Self-Organizational skills, ability to work with large volume of transaction/documents and follow strict deadlines.
  • Must have strong intercultural and communications skills.
  • Must be able to multi-task and maintain a calm, friendly demeanor under stressful situations.
  • Upper intermediate level of English language is a must.
  • Must demonstrate valid proof of unrestricted work authorization in Ukraine.

Your Daily Tasks

  • Under the supervision of the Finance Manager, provide assistance in subgrants management. This includes tasks such as subgrant design, competition, due diligence, negotiations, preparation of subgrant documents, administration, monitoring, and closeout.
  • Ensure the subgrant files are up to date and timely uploaded into IREX internal online documents management systems.
  • Assist in all internal coordination of activities related to the development and execution of subgrants, including internal certification/clearance procedures, financial monitoring and payment disbursements in a timely manner.
  • Assist Finance Manager in budgets and expense reports review as well as provide feedback and recommendations for changes.
  • Assist in generating various subgrant documentation, such as subgrant agreements and modifications, other documents as required.
  • Gather, file and organize originals of primary documentation (invoices and acts of acceptance, agreements, contracts).
  • Translates supporting accounting and payment documents as needed.
  • Other duties as assigned.
