Job Summary:

This role in the Payroll Department supports HR, Legal, and the Executive Team by managing the Vista system, maintaining union records, and improving system processes.


Essential Functions:

1. Efficiency. Ensure the proper utilization of the Vista system, maintaining all fields and templates, and enhancing system integrations to improve automation and reduce manual processes.

2. Results matter. Maintain and update a comprehensive database of union records, including CBA renewals, pay rates, and adjustments, while also managing the CBA schedule, pay rate structure, and HR/pay rules grid.

3. Communicate CBA information across the company, manage the template audit report, and report any conflicts or system changes.

4. Ownership and caring. Complete monthly union filings in collaboration with team members, with the goal of eventually taking full responsibility for union filings and payments under supervision.

5. Committed to serve. Oversee Prevailing Wage activities, providing support to team members across various locations.

6. Dedication. Manage the Supplemental Wages process and lead monthly meetings to ensure accuracy and compliance.

7. Respect and engage. Collaborate with management on drafting memorandums and new contracts as needed.

8. Focused. Assist Human Resources in communicating policy issues effectively across the organization.

9. Mastery. Lead union audits, ensuring thorough preparation and execution.

10. Obligated. Manage the shared drive for Payroll, HR, Legal, and the Executive Team, ensuring organized and accessible records.



Requirements, Education and Experience:

  1. Minimum of 3-5 years of experience in multi-state and unionized Payroll environments required.
  2. Bachelor’s Degree in Accounting, or a related field, required.
  3. Knowledge of Payroll best practices, applicable Federal and State wage, hour, and tax laws, or Fundamental Payroll Certification, preferred.
  4. Prevailing Wage experience, highly desirable
  5. Microsoft Office proficiency including Word, Excel, and Outlook required.
  6. Experience with Vista/Viewpoint/Trimble Products highly advantageous
  7. Proficient written and verbal English communication skills
  8. Excellent organization and customer relation skills
  9. Sharp analytical skills with the ability to identify “why”
  10. Adherence to internal controls and maintain confidentiality and security of data
  11. Highly ethical, analytical, team-oriented, flexible, inquisitive & logical
  12. Authorized to work in the U.S.

Travel:

Position may require up to 10-20% travel by personal vehicle to offices throughout the state of New York, and New England based on the needs of the business.



Work Environment/Physical Demands:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers. This is mostly sedentary, outside of travel, in an office space. The abilities to sit at a desk, frequent walking, bending, or standing, as necessary, are required.
