Overview

Secretarial / Administrative:

  • Providing secretarial support to managers, other department staff and organization as needed.
  • Composes and word processes correspondence, reports, memos and other documents.
  • Takes minutes at meetings and answers phone.
  • Answers provider enrollment questions requiring research or technical knowledge.
  • Receives and reviews incoming mail and requests for information; determines mail needing further research and responds to items not requiring supervisory review or resolution.
  • Purging old documentation and preparing for appropriate disposal according to guidelines provided.
  • Assisting departmental staff with activities as needed.
  • Report creation and distribution.
  • Uses independent judgement in analyzing data, creating and maintaining routine spreadsheets and data bases.
  • Proofreads and updates the OHSU O2 and Bridge web pages; creates forms; develops and revises office procedures.
  • Coordinates work on assigned projects.
  • Routing department emails and documents to the appropriate place.
  • Keeps logs and statistics related to operations for department.

Record Processing

  • Processing, documenting, independently troubleshooting and making decisions on specialized enrollment transactions.
  • Reviewing enrollment application forms for compliance with established criteria, and mailing or sending to health plans. Ensures that all necessary documentation is provided and is complete.
  • Determines and initiates action within established policies and procedures to resolve issues with enrollment.
  • License updates with carriers, websites and enrollment specialized software.
  • Collects and compiles data for directory updates, requiring specialized program knowledge as well as judgement in selecting a variety of information pulled from multiple places.
  • Performs complex data entry.

Information Assistance:

  • Responds to inquires about specific enrollment information and services or directs inquires as necessary. Explains and clarifies enrollment processes and procedures to customers.
  • Polling carriers for information, statistics, and other data details.
  • Running clinical activity reports upon request.
  • Receives incoming calls and routes calls to appropriate staff.

Other duties as assigned by supervisor.



Responsibilities

  • Two years of general office or secretarial experience; OR
  • An Associate’s degree or certificate in office occupations or office technology and one year of general office or secretarial experience; OR
  • A Bachelor’s degree and one year of general office or secretarial experience; OR
  • An equivalent combination of training and experience.
  • Note: Successful completion of a formal OHSU Administrative Internship Program will substitute for one year of experience.
