Overview

The Administrative Coordinator in the Department of Oral Rehabilitation and Biosciences provides reliable administrative support to the Division of Restorative Dentistry, the Division of Biomaterial and Biomedical Sciences, and the General Practice Residency.

This role has an emphasis on advanced technical knowledge, data collection and analyses, and ability to coordinate administrative work and activities to ensure a smooth flow of services and operations. As the largest department in the school of Dentistry, the department houses approximately 85-90 full-time, part-time and faculty volunteers that engage in all missions.

Job duties include: Direct education software support to faculty and staff, including maintaining records, calendaring and tracking faculty work assignment schedules, department recruitment, onboarding and orientation, compliance tracking, IT contact for department, travel and lecturer arrangements, and expenditure tracking.



Responsibilities

Education and Work Experience

  • Four years of general office or secretarial experience; OR An Associate's degree OR certificate in office occupations OR office technology and two years of general office OR secretarial experience; OR
  • A Bachelor's degree and two years of general office or secretarial experience; OR An equivalent combination of training and experience.
  • Strong MS Office skills including Outlook, Word, Excel, and PowerPoint
  • Proficiency in shared sites such as Sharepoint, Cloud, Box, MS Teams
  • Web editing experience
  • Previous scheduling, travel arrangement and expense reimbursement experience


Qualifications



  • Proficiency in OHSU Systems: Oracle, Aceyus, Drupal, Smartsheet, ExamSoft, Sakai, Epic, axiUm, QGenda and Kronos
  • Excellent communication skills with strong customer service experience
  • Demonstrable record of reliable attendance, punctuality and proven successful performance at past and present employers
  • Demonstrated exemplary tact, discretion, confidentiality and diplomacy
