Administrative Officer



The University of Pittsburgh's Kenneth P. Dietrich School of Arts and Sciences is seeking an Administrative Officer to oversee the administrative operations for the Departments of Biological Sciences and Neuroscience. The Administrative Officer serves as a strategic advisor to the Chair in administrative and operations manners, ensuring that all fiscal, administrative, personnel, student and faculty support, outreach and facilities matters are managed in a routine and effective manner. Responsible for all aspects of personnel administration of staff, including hiring, training, and performance evaluation. Manages the day-to-day operations and must be able to manage several tasks simultaneously and respond quickly to changing priorities. Serves as departmental liaison with Dean’s Office, Registrar, Office of Research, Human Resources and other University business units, as well as academic departments and outside organizations. Primary liaison to the fiscal, payroll, sponsored projects, and graduate administration teams.


Job Summary

Manages day-to-day operations and business administration of a large University unit/department. Utilizes a data-driven, strategic approach and implements strategic short- and long-range planning and strategies. Oversees budgetary matters, allocates resources, and performs payroll related functions. Directs relevant business programs and technologies.


Essential Functions

The successful candidate will use a computer extensively. They must be capable of oral, written, and electronic communications. Must be able to sit for long periods of time. In addition to a computer, they must be able to use a telephone and other general office equipment including but not limited to fax machines, photocopiers, scanners, printers, etc.


Physical Effort

This position is generally sedentary within an office setting, but the ability to travel around campus is occasionally necessary. Also, must be able to pick-up and carry 25 pounds.
