The Coordinator of Intake and Operations is a full-time, ten-month (80%) staff member who serves as the intake coordinator and office manager for the Student Counseling Center (SCC). The Coordinator of Intake and Operations responds to phone, email and in-person requests for services and interacts with students, family members, faculty and professional staff. Tasks include making scheduling adjustments as necessary to avoid conflicts and/or overscheduling and anticipating needs of students in crisis and directing accordingly. The Coordinator of Intake Operations provides assistance to the SCC Director in budget management and procurement of goods and services.
Essential Duties
  • Oversees the scheduling and intake process for students seeking counseling services through the Student Counseling Center using electronic medical record software (Titanium), including sending daily text reminders.
  • Assists professional counseling staff of SCC in triaging students for services based on urgency using intake documentation and knowledge of case flow of staff.
  • Triages response to students and/or family members who call or email the SCC with urgent requests.
  • Provides assistance to the SCC Director in budget management and procurement of goods and services.
  • Is knowledgeable of procurement processes and remains up to date on any procedural changes.
  • Maintains back-up budgets in Excel which enables budget discrepancies/queries to be addressed.
  • Processes documentation of purchases, and maintains files for payments.
  • Manages office operations ensuring that work environment is operating efficiently and anticipates needs when ordering supplies.
  • Recruits, hires and supervises Federal Work Study students.
  • Answers incoming inquiries, responds to emails and calls directing inquiries to appropriate persons as needed.
Secondary Responsibilities
  • Fosters a work environment that encourages knowledge, respect and development of skills to engage with diverse members of the La Salle community.
  • Performs other related duties as assigned.
  • Contributes to the overall success of SDCL by performing all other duties assigned by the Director of the Student Counseling Center and/or Assistant Vice President for Student Wellness Services.

  • Associate’s degree in psychology or other social service discipline (i.e. social work, public health, sociology).
  • Two years of prior experience working in a mental health or physical health related setting where clients are often highly stressed and/or confrontational and confidentiality is required.
  • Microsoft Suite proficiency and experience with electronic appointment systems.
  • Knowledge of managing line-item budgets.
  • Excellent administrative, interpersonal and communication skills.
  • Ability to function effectively and collaboratively on a multidisciplinary team.
  • Knowledge of and commitment to the mission of La Salle University.
Preferred Qualifications
  • Bachelor’s degree in psychology or other social service discipline (i.e. social work, public health, sociology).
  • Knowledge of crisis response protocols.
  • Prior experience working on a college campus.
  • Prior experience with multiple supervisors.
  • Demonstrated experience working with diverse populations in an urban setting.
Physical Requirements and/or Unusual Work Hours
  • No specific physical requirements.
  • Some evening and weekend work required at department and university events.
