Job Description Summary
The University of South Alabama’s department of Research Education and Training – College of Medicine is seeking to hire an Assistant Director, Office of Research Education and Training (ORET). Interested candidates should apply to be considered.
Essential Functions

These are the job duties required of the position.

Essential Functions
  • Responsible for the day-to-day administration of the Basic Medical Sciences (BMS) PhD program in the Whiddon College of Medicine.
  • Manages undergraduate and other student researchers and postdoctoral trainees.
  • Provides academic advising to BMS graduate students.
  • Advises and counsels students regarding lab rotations, course selection, registration, academic standing, degree requirements, and career/professional/personal development.
  • Coordinates the GradPALs (peer mentoring) program.
  • Plans and coordinates professional development seminars for all BMS students.
  • Researches and implements new initiatives to increase graduate student retention.
  • Refers students to other campus offices for guidance from professionals with particular expertise.
  • Organizes social functions involving BMS students and other trainees.
  • Markets BMS program at the local, regional, and national level to increase recruitment of students to the BMS Graduate Program.
  • Manages the admissions process.
  • Updates BMS applications throughout the year.
  • Answers applicant and potential applicant questions.
  • Ensures all applications have the required documentation.
  • Emails applicants regarding their application status (specifically: missing materials, application received, denials, invitations to interview, and invitations for admission).
  • Coordinates and schedules admissions committee reviews, meetings and interviews.
  • Sends out all communications leading up to the new class joining the program and plans and coordinates new student orientations.
  • Manages course scheduling for BMS Graduate Program.
  • Provides support and training for online BMS components as well as support for courses and for the program’s curriculum committee.
  • Maintains and updates course information in Canvas throughout the semester.
  • Coordinates the upload of teaching materials within Canvas and distribution to students.
  • Schedules, attends, provides updates and keeps records (including minutes) for meetings of the BMS Graduate Executive Committee.
  • Provides support to departments when hiring postdoctoral fellows, including organizing background checks requests, hiring approvals, and distribution of required paperwork to appropriate offices.
  • Coordinates professional development and other opportunities for fellows.
  • Maintains all postdoctoral records for the College of Medicine and the ORET.
  • Maintains up-to-date database of all current postdoctoral fellows.
  • Creates new hire personnel action forms for incoming postdoctoral fellows.
  • Coordinates onboarding process for new hires to include: submitting the appropriate new hire paperwork to Human Resources, scheduling I-9 paperwork appointments and sending pertinent information to the appropriate offices to ensure security access is set up, as needed.
  • Creates and distributes annual summer undergraduate research application to regional and state universities.
  • Manages the application process to include acceptance letters.
  • Provides and collects pre-summer and post-summer surveys to students and conducts exit interviews with all participating students.
  • Manages the ORET budget.
  • Completes payroll (both starting and ending) paperwork for BMS graduate students and undergraduate summer researchers.
  • Coordinates communications among students, postdoctoral fellows, faculty, staff, and relevant University offices.
  • Collects, maintains, and analyzes student (both BMS and non-COM) and postdoctoral fellow data for assessment purposes.
  • Confirms all BMS students receive their monthly stipend, and that all reappointments are submitted in a timely manner by departments.
  • Provides support to departments and the COM Business Office with non-COM student researchers, interns, and visiting scholars to include receiving necessary paperwork, getting the appropriate approvals, and forwarding personnel action forms to the COM Business Office with backup documentation, for paid positions.
  • Maintains an up-to-date database of all non-COM researchers.
  • Schedules, writes, and distributes Wellness Wednesday emails to BMS Students and Postdoctoral Fellow.
  • Coordinates wellness training sessions to promote wellness with all Whiddon COM trainees.
  • Regular and prompt attendance.
  • Ability to work schedule as defined and additional duties as required.
  • Related duties as required.
