Position Summary:

Responsible for managing the Nursing Department office activities. Provides clerical and communication coordination services for the Nursing Department in various job functions as delegated. Core work
functions are completed by performing the following duties and other duties as directed.

Duties & Responsibilities:

  • Serves as Nursing Admission Coordinator for the Nursing Academic Standards Committee:
    Creates a database for received applications.
    Works closely with Nursing Academic Standards Chair to ensure applicant files are complete and up-to-date and have necessary spreadsheet data reformatted for committee review/decisionmaking.
    Evaluates retail sources and prepare informational flyers for new nursing students' purchase of nursing personal use equipment and uniforms.
  • Management support for the Department of Nursing:
    Coordinates new nursing faculty office systems (telephone, computer, computer access, keys) and orients faculty to the physical plant.
    Orients new faculty to computer entry for travel requests and reimbursements, HSU forms and policies, bookstore/textbook ordering, and other processes as needed.
    Completes travel and reimbursement forms for faculty as needed.
    Assists with the coordination of departmental ceremonies.
    Coordinates departmental office activities and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings.
    Maintain archives of Nursing Department documents for accreditation surveys.
  • Maintains the departmental budget in coordination with Nursing Academic Officer and deans:
    Monitors revenues in departmental accounts.
    Receives and prepares monthly expense sheets for the Chief Academic Nursing Officer's signature.
    Solicits requests for clinical supply orders, research sources for best prices, complete order process, and documents receipt of supplies.
  • Marketing and response to public information requests:
    Nursing building tours for perspective students
    General program information requests via the internet, telephone, and walk-ins .
  • Creates, organizes, and maintains databases and file systems for department and student records:
    Student admission databases
    Reviews nursing student records for completion of immunizations, CPR requirements, Background checks, and Drug Screenings.

    Nursing Course Syllabi
    Nursing Preceptors
    Nursing Graduate Survey
    Nursing Clinical Agency Satisfaction Survey
  • Key contact for HSU Department of Nursing and Clinical Agencies:
    Initiates clinical agency contracts and assures signatory completion.
    Communicates with clinical agencies to ensure annual renewal letters completion.
    Monitors and assures currency of clinical agency contracts. -Formats clinical agency lists for required annual reports (ASBN, AACN, NLN).
    Researches and assists in the preparation of reports, composes/revises and types routine Nursing Department paperwork (policies, correspondence, publications, notices, contracts, etc.) as directed.
  • Computes data statistics and compiles aggregate reports for (not an all-inclusive list):
    Arkansas State Board of Nursing Report
    American Association of Colleges of Nursing/Collegiate Commission on Nursing Education Report
    Nursing Scholarships
    Sigma Theta Tau, International Nursing Honor Society Reviews and prioritizes incoming mail. Prepares outgoing mail and correspondence, including e-mail and faxes.
  • Responsible for Nursing Building physical maintenance:
    Key contact for departmental copier, copier supplies, and contact with the copier repair technician.
    Maintains departmental physical inventory (equipment, furniture, and simulation laboratory supplies) and composes/completes any associated reports.
    Serves as key contact for Simulation Laboratory equipment repair and recall
  • Oversees and inputs student security codes:
    Faculty building access.
    Student computer lab access.
    Monitors security cameras and camera placements.
    Key contact/communication initiator with HSU Physical Plant for building problems, maintenance, and repair.

While performing the duties of this job, the employee is regularly required to use hands to finger, handle,
or feel and talk or hear. The employee frequently is required to sit. The employee is occasionally

The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, and ability to adjust focus.

Minimum Qualifications:

Two-year degree from a college or technical school; one-year related experience and/or training; or equivalent combination of education and experience.
