Financial Planning Assistant (Wealth Management)


Salary Range: $21.30 - $25.99 an hour

At Midland States Bank, base salary is one component of our Total Rewards program. Exact compensation is determined by factors such as (but not limited to) education, skills, internal equity, and experience. This position offers additional compensation in the form of short-term incentives (i.e. bonus and/or commission) and may include long-term incentives (i.e. stock awards). Benefits for this role include comprehensive healthcare, well-being benefits, paid family leave as well as generous paid time off. Position Summary

The Financial Planning Assistant performs moderately complex to difficult administrative duties for the Manager of Financial Planning and Financial Planning Specialists. Work performed may include but is not limited to data entry, preparing reports, composing routine correspondence, scheduling meetings, or appointments, maintaining CRM records, screening, and directing incoming calls, providing information, or preparing minutes of meetings. This position is an individual contributor role.

Primary Accountabilities

  • Provides administrative support to the Manager of Financial Planning and Financial Planning Specialists.
  • Assists Wealth Advisors and Portfolio Management Team with relationship reviews, scheduling meetings, and preparing reports and correspondence.
  • Performs data entry tasks accurately and efficiently.
  • Prepares routine correspondence, ensuring clarity and professionalism.
  • Prepares planning presentation materials.
  • Maintains client records in Synergy and Salesforce, ensuring information is up-to-date and organized.
  • Assists in maintaining compliance records, ensuring adherence to regulatory requirements.
  • Takes and maintains meeting minutes, ensuring accurate documentation.
  • Assists in any Audits by providing necessary documentation and support.
  • Receives and handles service-related phone calls from clients, ensuring issues are resolved or escalated appropriately.
  • Assists in market research to support the Financial Planning team.
  • Verifies task completion by collaborating with the Wealth team.
  • The role requires occasional travel for training and team meetings, and willingness to travel periodically, to locations within market as needed.
  • May require work in a Midland office to ensure collaboration and support of internal and external customers.
  • Maintain compliance with all applicable regulations including, but not limited to, the Bank Secrecy Act (BSA).
  • Other duties as assigned.


Position Qualifications

Education/Experience:

  • High School diploma or GED, Associate Degree preferred.
  • Minimum of 1+ years of experience in administrative, operational or receptionist position.
  • Proficiency in MS Office Suite (Word, Outlook, Excel, PowerPoint).
  • Professionalism and courtesy in dealing with customers and colleagues.
  • Possess a fiduciary mentality, always doing what’s best for the client and maintaining confidentiality in all matters.
  • Ability to handle sensitive information with discretion and professionalism.
  • Strong oral, written, and interpersonal communication skills.
  • Strong organization and time management skills in order to prioritize workloads effectively.
