As part of our ongoing growth and expansion, we are seeking a sharp and talented Executive Assistant to support a long-term contract with NOAA. This role is expected to operate in a hybrid capacity, working 3 days in the office in Silver Spring, MD, and working the other 2 days remotely from home.



Responsibilities

The work of the Executive Assistant involves maintaining executive calendars, taking notes, supporting travel for senior leaders, and controlled correspondence to ensure meeting organizational requirements of business owners, quality teams and Google Site administration to establish and continually improve operational capability for the Office of Coast Survey (OCS) business processes and customers. Program support will include assisting the OCS front office with data calls, meetings and briefings, communications with internal and external customers, inquiries, outreach strategies, interagency working groups, visits and activities.

Duties of the Executive Assistant will include the following:


Maintaining the calendars for the Office Director and Deputy.
Support executive travel.
Note taking during meetings, capturing actions and follow ups.
Maintain and track of long-term action items, for example the OCS Roadmap.
Track incoming and outgoing controlled communications like Congressional Reports and
Freedom of Information Act (FOIA’s).
Help prepare draft responses to NOAA and NOS data calls within established time
frames.
Assist with management of all communications with international and interagency
partners regarding meetings, responses to external entities and other information inquiries
and maintain a tracking system. Brief senior staff.
Draft periodic activity coordinated with the OCS Communications intended to inform
NOAA, OCS, and the public.
Provide support to senior OCS staff representatives to the governing bodies of various
external organizations. Support includes documenting the results, distributing for review
and finalizing based on input; tracking actions and ensuring follow-up is accomplished
within established time-frames.
Attend and provide support to senior management participating in U.S. interagency
working groups and committees.
Assist with organizing meetings, related agendas, preparing briefing materials, and
assisting with pre-event briefings.
Provide staff support for bilateral activities with partner nations.
With guidance from senior staff, coordinate communications with Division managers and
related staff regarding visits by international delegations and/or technical staff and OCS
participation in international activities.
Support outreach strategies for OCS that promote NOAA OCS activities.



Qualifications

The Ideal Executive Assistant will have the following:

  • A Bachelor's Degree.
  • 2+ years of experience in executive administration/support.
