POSITION SUMMARY

The Operations Support Specialist will provide administrative support to the North American Operations Recruiting team. This role will collaborate with Recruiting, Human Resources, and external candidates, to ensure that new hires are set up for their first day with Constellis. This is a hybrid position requiring 2+ days a week in the Upper Marlboro, Maryland office.

 

RESPONSIBILITIES

Under general supervision, provides administrative support and is responsible for smooth communications between the department/division and customers, suppliers, and other departments/divisions.

  • Send, receive, and verify the completeness and accuracy of all documentation pertaining to new hires
  • Assemble new hire packets for orientation and facilitate orientation sessions
  • Audit personnel documents, update electronic files, maintain databases, documentation, data backups, and the confidentiality of records
  • Ensure documents are complete, current and stored appropriately and securely
  • Answer employee questions and incoming calls, provide information on routine inquiries, and take messages/forward callers as appropriate
  • May perform general clerical duties, including filing, photocopying, faxing, scanning, and mailing
  • Size applicants for new uniforms, place orders and issue out uniforms
  • Process invoices for uniforms through vendor systems
  • Maintain cleanliness and organization in the warehouse
  • Other duties as assigned

 

QUALIFICATIONS

  • HS Diploma required; Bachelor's Degree, preferred
  • 3+ years of administrative experience required
  • Experience working U.S. Government contracts, preferred
  • Experience working in a warehouse setting, preferred; ability to lift up to 30lbs
  • Advanced proficiency with MS Office, preferred
  • Effective oral and written communication skills with all levels of the organization
  • Strong organizational skills with the ability to manage time and multiple priorities to completion
  • Problem-solving skills with an analytical thought process
  • Ability to adapt to a rapidly changing environment

WORKING CONDITIONS

Work is typically based in a busy office environment and subject to frequent interruptions. Business work hours are Monday-Friday standard core hours, however some extended or weekend hours may be required.
