Overview

Reporting to the director of the McGraw Center, the Center Manager (CM) is an integral member of the McGraw Center professional staff. The CM provides independent, high-level administrative support to a large (35+) staff. The CM oversees the general functioning and business operations of the entire Center; manages the Center's space and and events; and trains and supervises the Center’s administrative support staff team. As finance manager, the CM develops and oversees the budgets of multiple programs. The CM serves as a liaison to ODOC financial leadership. As administrative manager, the CM oversees the day-to-day operations of the Center; coordinates high-profile, large-scale Center events; and manages records and file retention activities. The CM also manages the Center's space, overseeing facilities and renovations to them. The CM serves as the principal liaison to non-academic university departments, including Facilities, University Services, the Office of Capital Projects, Public Safety, Campus Dining, Office of Finance and Treasury, Procurement, and the Office of Information Technology, as well as the Graduate School, Student Employment, and Human Resources.



Responsibilities

Financial/Budget Management
Develop the administrative budget in collaboration with the Center directors; responsible for its careful and appropriate oversight.
Monitor spending and provide regular and timely analysis of available funds to the directors
Approve Concur reports for all staff, ensuring compliance with the University's business policies
Ensure departmental compliance with all university financial regulations including credit card policies and instructs staff in the proper use of Princeton financial systems.
Manage, in appropriate university systems, all invoices and bills for all components of the operation of the Center
Monitor, process, and prepare correspondence for all stipends, honoraria, awards, and any other payments
Manage necessary changes to staff records in the labor accounting system

Supervision and Student/Casual Staff/Staff Management
Directly supervise two program coordinators, and maintain a dotted line to the PCCE program coordinator and PTI program manager, ensuring coordinated support for the Center as a whole
Cross trains program coordinators for high functionality and effectiveness
Assist Center directors with staff searches; manage employee onboarding
Hire approximately 100 undergraduate and graduate student staff into the appropriate University system; hire casual staff as needed into same
Interface with Student Employment and Human Resources on a variety of matters related to student and casual staff employment
Approve undergraduate and graduate student hours in the appropriate University system; approve casual staff hours in same
Complete staff forms as needed for leaves, additional pay, retirements/terminations
Manage annual conflict of interest process for entire staff

Administrative and Program Management
Coordinate and streamline the day-to-day running of the Center
With the Center director, develop and implement office policies and procedures; maintain and update an "office policies" handbook
Manage high-profile, large-scale events, such as New Faculty Orientation
Oversee all aspects of all Center programs; back up program coordinators as needed with events
Lead electronic record and file retention activities
Coordinate Graduate Mentoring Award process
Develop and maintain an office-wide calendar; manage time away and absence requests
Coordinate office meetings; develop agendas and ensure all materials and presentations are prepared
Oversee the McGraw Center website, manage structure and content

Space Management and Facilities Oversight
Serve as liaison with building management and custodial staff, Facilities, Office of Capital Projects, OIT, and University Services
Coordinate Center communication systems including telephones and general email accounts
Serve as emergency coordinator, update department’s emergency documentation
Oversee all aspects of office moves, renovations, and maintenance; serve as liaison with vendors and with Resource Recovery Program for furniture, lighting, computing, and hardware



Qualifications

Bachelor's degree and 5 + years of related experience

Demonstrated ability to interact with all levels of university personnel with professionalism, tact, and patience
Strong public relations, interpersonal, and organizational skills, demonstrated initiative and resourcefulness
Excellent verbal and written skills, ability to communicate effectively with all members of the university community from undergraduates to senior faculty and administrators
Excellent budget management skills
Willingness to be flexible and work collaboratively as part of a team
Sensitivity to the needs and concerns of a diverse student population
Ability to manage multiple tasks, meet deadlines, and handle unexpected and urgent situations independently and effectively
Excellent judgment and discretion
Prior supervisory experience
