Description: Position Summary: We are seeking a highly organized and meticulously detailed Sales & Marketing Project Manager to join our newly formed Sales & Marketing Department. This role plays a vital part by supporting the team in achieving its objectives efficiently and effectively. This includes driving administrative and project management efforts that involve marketing and sales growth to enhance LEO's brand visibility and awareness. Responsibilities encompass a wide range of tasks and initiatives that are crucial for seamless operation of the department. Job Responsibilities: · Provide project management oversight and support for the sales and marketing department o Project management of special projects including industry events and conferences, department initiatives and campaigns, etc. all while meeting deadlines of departmental goals & objectives § Monitor project progress, including owning timelines of deliverables, providing status updates to stakeholders, and ensuring those involved are on track with project completion § Management of project calls, notes, budgets, creative briefs, logistics, etc. § Management of post-project activities including budget reconciliation, internal/external debriefs, reporting, etc. · Conduct post-project evaluations with the department to identify areas for improvement. o Oversight of departmental inventory, ordering, materials fulfillment, etc. o Project management assistance of sales funnel (new leads, prospect data management, RFP support) o Collaborate cross-functionally with other teams, departments, vendors, external partners, etc. to ensure seamless project execution across the board. o Spearhead innovative project management strategies to foster creativity and boost team collaboration o Oversight of web-based project management tool, Asana o Overall management of departmental traffic and distribution of information · Provide administrative oversight and support for the sales and marketing department o Oversee logistical aspects of team projects including registration, travel arrangements, accommodations, shipping, technology requirements, etc. o Record and take notes for departmental meetings, as needed o Management of departmental expenses, PO's, and QuickBase o Overall management of departmental calendar · Management of company CRM, HubSpot o Platform maintenance, content clean-up, reporting, etc. · Stay up to date on best sales/marketing practices, trends, tools, and software that help to further streamline the department. · Travel of up to 10% to attend various events, conferences, tradeshows, etc. Qualifications: Bachelor's degree from an accredited four-year college or university in Marketing, Business Administration, Hospitality Management, or another related field. Minimum of 5 years' experience in sales and/or marketing within the events or hospitality industry. PMP preferred, not required Proficient in project management and CRM tools/software (Asana, HubSpot, QuickBase, etc.) Competencies: • Excellent communication skills, both oral and written • Strong project and time-management skills • Ability to manage multiple projects simultaneously • Professional and positive approach • Attention to detail and able to multitask • Ability to work closely and collaboratively with team members across all departments, senior leaders, and key stakeholders • Demonstrates curiosity to gather business acumen and company culture • Knowledgeable and skilled in business analytics, relationship management, strategy development, project management, and problem-solving • Proficient in Microsoft Office Suite • Willing to travel (up to 10%) and work nights and weekends, as needed Environmental Conditions and Physical Demands: Employee required to spend a portion of time remaining in a seated position looking at a computer screen. Employee required to do some standing/walking and will be in a well-lighted, heated, and/or air-conditioned indoor office setting with adequate ventilation.
